Business Analysis
Mission & Impact
The BIT (Business Information Technology) Business Analysis and Business Architecture department delivers integrated business analysis and business architecture services to support EPO business priorities as well as digital transformation and change initiatives. Within our team’s scope, enabling digital and business transformation is central to our work, and this includes key activities such as simplifying business processes and designing or redesigning them as needed. 
What will the Young Professional do?
•    Assist in analysing current (“as is”) business processes and identifying opportunities for improvement or redesign, following established BA guidelines and techniques
•    Design To-be processes and scenarios, and related documentation using approved tools and notations
•    Contribute to workshops, interviews, and requirement gathering sessions with stakeholders
•    Help prepare and maintain process related deliverables
•    Collaborate with senior BAs and product teams to ensure alignment with internal standards, methodologies, and the iterative strategy to delivery approach
Ideal educational background
Business analysis and business process management are interdisciplinary domains and may be approached from different perspectives, such as economics, business administration and management, and information technology (although not technical) as it is an enabler for digital transformation initiatives
Must-have skills and requirements
Knowledge of business process management principles and approaches, knowledge of business process modelling notations (BPMN), and techniques
Nice-to-have requirements
Experience in business process management- focused analysis or initiatives, knowledge of business architecture notations (e.g. ArchiMate) and Case Management Modelling notation (CMMN), experience with Business (Process) modelling tools (such as ARIS)


Certifications department 
Mission & Impact
The Certifications department organises and manages the implementation of the digital European Qualifying Examination (EQE) and European Patent Administration Certification (EPAC). We collaborate closely with a wide range of internal and external stakeholders as well as governance bodies of the EQE and EPAC examinations. We also implement the Candidate Support Programme, which is a further impactful initiative, fostering equitable access to the patent profession together with the National Patent Offices.
What will the Young Professional do?
The department requires technical expertise to support the digital examination and certification processes. The candidate will:
•    Collaborate with Business Information Technology unit to improve examination-related tools and modernise digital processes
•    Propose and follow the implementation of technical solutions for interoperability of examination systems
•    Support the development, testing, and use of digital examination platforms, such as WISEflow, ServiceNow-based EQC portal, and other services
•    Contribute to ensure data confidentiality and secure processes
•    Support in generating data reports and analyses for management and stakeholders
•    Support in answering examination-related inquiries from the candidates and stakeholders
•    Act as an invigilator for the EQE and EPAC exams
•    Collaborate closely on diverse activities with colleagues within the team, and across the units in the Office (EQE committees, BIT, Academy, Cooperation, etc) as well as external stakeholders
Ideal educational background
Technical background in information technology, business informatics, or a related field
Must-have skills and requirements
Technical background in information technology, business informatics, or a related field, advanced user of AI- tools, understanding its limitations and security requirements, experience with system interoperability and database management, excellent writing and communication skills in English, good organisational skills and ability to work independently, manage priorities and to adapt quickly to urgent requests, strong sense of commitment to the team and the desired end product, paired with a service-oriented approach.
Nice-to-have requirements
Knowledge of certification environments and online examination systems, knowledge of the EQE or EPAC exam, French and/or German knowledge is an asset.

 

Facilities Management CoE 
Mission & Impact
Our unit builds and maintains relationships between stakeholders in Building/ Facilities Management and BIT (Business Information Technology) and supports business in selecting and provisioning IT solutions aligned with BIT policies and EPO strategies.
We support the organisation of online meetings and events (e.g. Oral Proceedings, International Cooperation, Administrative Council) by implementing and managing modern meeting and videoconferencing solutions, and we manage and support audio/video systems in Meeting rooms, Conference and Training facilities.
What will the Young Professional do?
•    Support the inventorying and documentation of audio/video equipment and infrastructure across all EPO sites
•    Contribute ideas for improving tools, workflows, and user experience, for example by participating in dedicated pilots
•    Support the team in structuring, consolidating, and sustainably maintaining existing documentation within a central document repository
•    Act as a central point of coordination between the team and stakeholders to support ongoing activities
•    Contribute to conferences and stakeholder events
Ideal educational background
Educational background in IT, engineering, media technology, or a comparable field, strong IT and technical affinity, first professional experience or demonstrated interest in current and future audio-visual technologies and digital collaboration platforms, interdisciplinary profiles welcome
Must-have skills and requirements
Structured and organised way of working, high willingness to learn and grow in an IT technical, cross-functional environment, strong coordination and communication skills, proactive mindset with the ability to bring in new ideas and improvements, ability to work autonomously while being a reliable team player, strong documentation skills
Nice-to-have requirements
Hands-on experience with document management systems and shared collaboration tools, knowledge/openness to learning AI-assisted workflows and cloud-managed AV platforms, use of AI-driven monitoring and analytics, German and French language skills


IT Project Office

By connecting strategy with delivery, we help the Office move forward together - making complex initiatives achievable, transparent and impactful for everyone.
What will the Young Professional do?
•    Support the successful delivery of strategic IT initiatives by working closely with programme and project teams across the organisation
•    Contribute to transparency and informed decision‑making by helping maintain an overview of the digital transformation portfolio, including progress, risks and benefits
•    Assist in preparing key meetings, ensuring senior stakeholders have clear and reliable information
•    Help organise and maintain essential documentation, supporting consistency and knowledge sharing
Ideal educational background
Computer Science or Information Technology, Project Management or Business Administration. Interdisciplinary profiles are welcome.
Must-have skills and requirements
Experience in project‑based work, digital transformation, IT governance or organisational change, fluency in written English, with the ability to clearly structure information and convey key messages to non‑expert and diverse audiences, ability to work with structured information, pay attention to detail and track multiple activities in parallel, strong interpersonal skills, with the ability to work collaboratively in an international environment and interact with a wide range of stakeholders, proactive attitude, willingness to learn new tools and methodologies, and ability to adapt in a dynamic, agile and evolving work environment.
Nice-to-have requirements
A certification in a recognised project management methodology (e.g. PRINCE2, PMI, agile), familiarity with data visualisation and reporting tools, such as Power BI, to support clear and insightful management information, an interest in using AI‑based tools responsibly, with the ability to apply them to enhance the efficiency and quality of administrative, reporting and information‑management activities, working knowledge of French or German, enabling collaboration in a multilingual environment.

 


PGP Tools / User Experience
Mission & Impact
The UX team’s mission is to ensure EPO IT products are user‑centred, accessible, and efficient by involving UX early in product definition, grounding design work in data, and collaborating closely with product, business, and development teams to shape the right solutions from the start.
Our impact is visible in improved user experience, accessibility and usability, and more effective digital tools that directly support end‑user productivity and the organisation’s broader digital transformation goals.
What will the Young Professional do?
•    Support AI-based design-to-code initiatives
•    Enhance the usability of the design system's component library and CSS framework
•    Identify and address pain points in the integration of design system components into various projects
•    Develop onboarding resources (guides, tutorials, demos) to assist developers in adopting and implementing the design system effectively
•    Actively engage with the front-end developer community to promote the design system
Ideal educational background
Computer Science, Software Engineering
Must-have skills and requirements
Proficiency in HTML, CSS, and JavaScript (ES6+), strong understanding of web standards, accessibility (WCAG), and cross-browser compatibility, experience with React.js, including hooks, component lifecycle, and state management, familiarity with design systems, component-driven development, and reusable UI patterns, ability to collaborate with cross-functional teams (designers, developers, and product managers), analytical mindset to troubleshoot issues and optimize workflows, eagerness to learn new tools, frameworks, and methodologies, in particular new applications of Artificial Intelligence
Nice-to-have requirements
Experience with tools like Storybook or similar component documentation platforms, basic knowledge of TypeScript, exposure to CI/CD pipelines and version control (Git), familiarity with modern build tools like Webpack and Vite.


Prior art data intake
Mission & Impact
The Prior Art Data Intake team manages the acquisition of patent and non-patent search data and services. The department maintains working level contacts with patent offices all over the world to ensure the timely loading of published patents into the EPOs databases. It monitors the loading process with dashboards, detects loading errors, improves the automatic loading with data related analysis and specifications for developments. The team is also responsible for all search-related contracts with external publishers and service providers. This includes subscriptions to engineering publications, licenses for loading databases and search services, e.g. for chemistry.  
What will the Young Professional do?
The team is responsible for patent and non-patent literature data acquisition and the respective data loading monitoring. They transition and adapt to changing operational environments, particularly the migration from legacy to new patent-related search systems and changes in the reporting tools. You will:
•    support these transitions, document the adapted processes and therefore ensure up to date ISO documentation
•    Support dashboard migrations and related data coverage reporting mechanisms, to strengthen knowledge retention through technical documentation efforts. This will ensure continuity and adaptation of the team's expertise.

Data Science, Statistics, Business Intelligence
Must-have skills and requirements
Tableau, Power BI, advanced MS Excel for dashboards and visualisations, python for automation and data processing, SQL for database queries, knowledge of documentation and planning tools, scripting or workflow automation tools for end-to-end process optimisation, interest and basic knowledge in AI models and usage, attention to detail and communication skills for interacting with various stakeholders, well organized, good planning skills

Knowledge about patent data structure, knowledge about intellectual property management/patent grant processes.
