With responsibility for construction projects, facility services and building management as well as language services, Principal Directorate General Administration plays a leading role in preserving and investing in the assets of the European Patent Office. It is entrusted with planning and implementing building works, ensuring compliance with health and safety standards and further reducing the Office’s environmental footprint. It plays a key role in the new ways of working concept by shaping the working environments for staff.

 

Within Principal Directorate General Administration, Facility Management provides a variety of office-related services, including security, conference and space management, catering and cleaning.

With us you will:

  • design, develop and implement new and improved facility management processes
  • continuously review and evaluate processes to ensure ongoing improvements and efficiencies
  • collaborate with cross-functional teams to ensure process changes are effectively implemented and maintained
  • facilitate process improvement workshops and training sessions for staff
  • develop and co-ordinate process documentation, including process standards, maps and operating procedures
  • manage Office-wide projects in the field of facility management, including planning, design and implementation
  • manage project delivery with internal stakeholders, implement follow-up processes and ensure communication and reporting as required
  • contribute to the changes in facility management driven by our new ways of working
  • drive the change management process in facility management

 

Apply if you have:

  • relevant experience in a (multi-)project management role involving facility management or similar services
  • proven experience in business process analysis and improvement or business development
  • knowledge of process improvement methodologies and tools
  • an understanding of infrastructure, equipment and services needed to operate large office buildings
  • experience in performance analysis, including KPI development and monitoring
  • good analytical and communication skills and experience of working closely with higher management
  • the ability to work effectively with cross-functional teams and stakeholders
  • a “can-do” attitude and the eagerness to continually learn about new developments in project management

 

Our minimum requirements for this post

• Diploma of completed studies at master's level or – in exceptional cases – equivalent professional experience

• Generally, an excellent knowledge (at least C1) of one official language (English, French and German) and ability to understand the other two; alternatively, excellent knowledge (at least C1) of at least one official language (in such cases, the willingness to learn the missing language(s) and to reach level B2 within a set time frame would be required)

• Citizenship of one of the member states of the European Patent Organisation

 

Process

The successful candidate will be selected on the basis of qualifications, competencies, professional experience and language knowledge, supplemented as appropriate by interviews, tests and/or a personality questionnaire.
A reserve list may be constituted, should more candidates than required at this time be considered suitable following the selection procedure. Such reserve lists are valid for 18 months and reserve list candidates may be contacted, should a vacancy with substantially the same profile arise during that period.
